SM-I-I  Enter Reps and Passwords

Purpose of Program

Use this program to define Reps and their associated characteristics.  If the Contact Manager will be used by multiple persons, each person should be assigned a Rep code and a unique password.  With Rep codes you can establish various levels of security that allow Reps to protect or share their account information with other Reps.

Field Explanations

Rep

A code which identifies the Rep.  This is a five character alphanumeric field.

Employee Number

If the Rep is set up in the employee file, you can enter his employee number in this field.  The First Name, M.I., and Last Name fields will automatically be displayed.  This field is optional.

First Name, M.I.

The Rep's first name and middle initial.

Last Name

The Rep's last name.

Password

The password for this Rep that will be used throughout the Contact Manager module.  This can be the same password as that entered through PS-A  System Users/Passwords or it can be a different password just for use with the Contact Manager.  This is a 10 character alphanumeric field.

Form Letter Name

If any form letters are sent by this Rep through CM-B-I  Print Form Letters or AR-P  Generate Dun Letters, this will be the name used in the complimentary close section of the letter.

Form Ltr Title

If any form letters are sent by this Rep through CM-B-I  Print Form Letters or AR-P  Generate Dun Letters, this will be the Rep's title used in the complimentary close section of the letter.

Default History Code

Enter the history code most commonly used by this Rep.  When entering history notes on an account, this code will automatically come into the screen.  This field may be left blank.

Default Follow-up Code

Enter the follow-up code most commonly used by this Rep.  When entering a follow-up record on an account, this code will automatically come into the screen.  This field may be left blank.

Default Date Code

Enter the key date code most commonly used by this Rep.  When entering a key date code and date on an account, this code will automatically come into the screen.  This field may be left blank.

Allow others to View this Rep's Records?

If this Rep wishes to allow other Reps see his account records, enter Y.  If N, other Reps will not be allowed access to accounts assigned to this Rep.

Allow others to Change this Rep's Records?

If this Rep wishes to allow other Reps to make changes to his account master information, enter Y.  If N, other Reps will not be allowed to make changes to accounts assigned to this Rep.

Allow Changes, but provide Warning?

If this Rep wishes to allow other Reps to make changes to his accounts, but wishes to have a warning remind the other Reps that they are changing another Rep's account, enter Y.  If N, no warning will be displayed.  If Allow others to Change this Reps Records? is set to N, this field will have no function.

Allow others to add records for this Rep?

If this Rep wishes to allow other Reps to create new account records and assign them to this Rep, enter Y.  If this Rep wishes to deny other Reps the ability to create new accounts for him, enter Y

General Program Operation

Enter the Rep code and the other fields.  Refer to Field Explanations above for details.  When the screen is completed, you are prompted to save the record.

To edit an existing record, enter the Rep code or select one by clicking on the Lookup icon (or press F2).  Once the record is displayed, make any changes desired, then save the record by clicking on the Save button (or press F10).
