AP-S  Print 1099 Forms

Purpose of Program

Form 1099-Misc is submitted to the federal government once a year.  A copy is sent to the vendor as well.  This program works in conjunction with your Accounts Payable and prints a 1099 for each vendor that has the Send 1099? field in AP-A  Enter Vendors set to Y.  The information on the 1099 form is derived from the check history file so that it reflects actual payments made to vendors.  If you have not been running your Accounts Payable on this system for an entire year, the amounts printed will not be correct.

With this program you can print on standard laser 1099 forms or dot matrix continuous forms.

Dot matrix printing requires Generic / Text Only printer driver

If you wish to use dot matrix continuous forms, you must print in text mode.  This requires use of the Generic / Text Only printer driver to ensure correct alignment.  If you plan on printing on laser forms, the program prints in graphical mode.

If you do not already have a Generic / Text Only printer driver installed, you can do so as follows.  Click Windows Start, then Settings, then Printers, then Add Printer.  After indicating whether the printer is to be a local or network printer, you can then select a Manufacturer.  Click on Generic.  In the Printers list box you will see Generic / Text Only as the only listing.  Click Next and finish answering the rest of the prompts.

When you print the form, after selecting the Printer option, your default printer is displayed.  To change to the Generic / Text Only printer, click Select.  In the Printer Name field click the lookup arrow and select the Generic / Text Only printer.  The Paper Size should be set to Letter 8 ?x 11 in and the Paper Source should be set to Continuous - Page Break.  Click Ok and proceed with printing.

If vertical alignment is not correct, make sure your laser printer is set for 60 lines per page.  If you do not get a form feed after the first form prints, make sure when you select the Generic / Text Only printer that its Paper Source setting is Continuous ?Page Break.

General Program Operation

You should start by verifying that each 1099 vendor has a tax ID number in AP-A  Enter Vendors which must be printed on the 1099 form.

When running this program you are asked to determine which vendor 1099's are to be printed.  Enter a from/thru Vendor Code (or select one from a pop-up window by pressing F2 or clicking on the Lookup button), a from/thru Vendor Class, and a from/thru Amount.  Press <Enter> at these fields if you do not wish to specify limits.

Remember, only vendors with their Send 1099? field set to Y in AP-A  Enter Vendors will get selected for 1099's, regardless how you select these ranges.

If your 1099's are to be generated only for vendors with purchases in a certain dollar range, enter that range in the from/thru Amount field.  For example, if you are only going to generate 1099's for vendors that you have done $500 or more business with, enter 500 in the from field, and leave the thru field blank.

The next option allows you to choose which type of 1099 you are printing.  Eight different types are presented in a pop-up window.  The most common choice will be the first option, Non-employee Compensation.

Follow this by supplying your federal identification number, which will be printed on each 1099.

You are then given the option to only print 1099's for vendors who have a Tax Id number entered.  If you enter N to this question, 1099's will be printed even if a Tax Id number is not entered.

Enter Y in the Print Graphical Form field if you want to print to a laser form.  If so, the standard List, Print box will appear and you can proceed with printing the form.

If you enter N, which means you will be printing to a dot matrix printer, you are asked if you wish to print a sample first.  After printing the sample or clicking No, the List, Printer, Disk, Cancel prompt is presented again and you can proceed with printing the forms.   Remember, when printing in Windows you must use the Generic / Text Only printer driver.  See Windows Printing Requires Generic / Text Only Printer Driver above for details.

If you want multiple copies, run the program again for each copy needed.
