CM-C  Download Account Info

Purpose of Program

Use this program to download selected file information from your accounts database to one on another computer.  Your file information will not override that on the other computer, but instead will merge with it.  This is ideal where salespeople are in the field with computers and need to download their accumulated field information to a central database so it can be shared with the organization.  Conversely, salespeople can upload data back from the central database through, CM-D  Upload Account Info.

The program can be specified to only download those accounts whose Download? switch is set to Y.  This happens whenever an account's master information or history notes have been changed or added to.  Each history note record also has a Download? switch, which is not displayed.  After downloading, the switches are all set back to N.  This use of download switches confines the download only to records that are new or have changed since the last download.

As an alternative to automatic downloading, you can select accounts for downloading via the same selection database options used by the list, mailing labels, and form letter programs.

General Program Operation

First you must enter your password.  The program will only download account master information for accounts assigned to your Rep code.

Indicate whether you want an Automatic Download?  If so, any account assigned to your Rep code whose Download? switch is set to Y will have its master record downloaded.

Next, indicate whether you wish to include History Notes in your download.  If yes, all history notes for any account (whether assigned to your Rep code or not) which has history note Download? switches set to Y will have those history note records downloaded.  You may not be the master Rep for an account, but you still can participate in activities with that account and therefore, through downloading, can mix your history in with that of other Reps.

You can then specify whether your follow-up codes and dates are to be downloaded.  It would be rarer for this information to be downloaded than the first two, but there are situations where it is useful to share follow-up information, especially when teams are being used on projects.

Next, specify a path if you want the download files to go to another drive or subdirectory.  For example, if you want the download files to go to a subdirectory named MIKE on drive F, you would enter the following path.

F:\MIKE\

After entering the path, if you had previously specified automatic downloading, you will be asked if you wish to begin the download.  If you had not specified automatic downloading, you can move on to the selection fields on the rest of the screen.

Enter a Selection ID code, which is user defined, along with a description.  Your download selections will be saved in a selection history database, keyed to this code.  If you ever want to download using this exact same set of selections again, all you have to do is enter the selection code and your prior selections will fill the screen.

Enter a description of this selection, as well as a date.

Next, you can enter a first group of up to 20 individual class codes from the class file for inclusion in the download.  Any account that has any of these codes will be included.  If you leave  them all blank, all class codes will be selected.

You can then enter another group of up to 20 class codes which limits the names selected from the first group.  Only those of the first group that have all the class codes entered in the second group will be selected.

You can optionally enter a single key date code and a from/thru range of key dates, as well as a follow-up code and range of dates.  You can then enter from/thru ranges of account codes, states, zip codes, SIC codes, lead sources, start dates, and territory codes.  You can limit the download to just customers or you can exclude customers from the download, or by setting both customer fields to N, customers will be included the same as any other account as long as they meet the previous selection criteria.

After completing your selections, you will be asked if you wish to begin the download.  After processing is completed, you are returned to the Contact Manager menu.

Once the download files are created, you can copy then onto disks or send them on to their next destination via modem.  If you want to copy the files using DOS wildcards, they are named BKCME*.B*.  Don't forget that if you are working in a company other than the default company, the data are located in a separate company subdirectory (folder) one level below your main system folder.
