CM-B-I  Print Form Letters

Purpose of Program

Use this program to generate form letters to accounts, either to one account or to groups of accounts.  The accounts can be selected via the same selection criteria and database used by lists and mailing labels.

Form letters must be defined in advance through CM-L  Enter Form Letters.  A form letter can be designed to function as a letter, memo, fax, etc.

General Program Operation

Enter a Selection ID code, which is user defined, along with a description.  Your form letter selections will be saved in a selection history database, keyed to this code.  If you ever want to print form letters using this exact same set of selections again, all you have to do is enter the selection code and your prior selections will fill the screen.

Enter a description of this selection, as well as a date.

Specify the form letter code for the letter you wish to generate.  You can enter the code or select one from a pop-up window.  The form letter description will display automatically.

Enter the Rep code for the Rep whose name is to appear in the complimentary close section of the form letter, if applicable for this particular form letter.  Each Rep's form letter name and title are pre-defined in SM-I-I  Enter Reps and Passwords.

Next, you can enter a first group of up to 20 individual class codes from the class file for inclusion in the mailing list.  Any account that has any of these codes will be included in the list.  If you leave  them all blank, all class codes will be selected.

You can then enter another group of up to 20 class codes which limits the names selected from the first group.  Only those of the first group that have all the class codes entered in the second group will be selected.

You can optionally enter her a single key date code and a from/thru range of key dates, as well as a follow-up code and range of dates.  You can then enter from/thru ranges of account codes, states, zip codes, SIC codes, lead sources, start dates, and territory codes.  You can limit the letters to just customers or you can exclude customers from the mailing, or by setting both customer fields to N, customers will be included the same as any other account as long as they meet the previous selection criteria.

You can specify whether you want a contact name printed, and then you can indicate which contact number (1 thru 10).
